Receptionist

The Receptionist reports directly to the Head of School or their designee and is an integral part of a close-knit administrative team devoted to the long-term success of the Montessori School of Raleigh. The Receptionist is often the first contact the public have with the School, either on the telephone or in person. This 12-month administrative position is thus critically important to the School’s marketing and public relations and to the support of the School’s parents, students, and staff. This position thus requires a service-oriented person with well-developed people and problem-solving skills and the ability to multitask. The Receptionist must at all times, by definition, demonstrate great discretion and professionalism. MSR is accredited by AMS and SACS. The school offers a strong benefit package. The tasks of the Receptionist will include but may not be limited to:

Answering the telephone
• ensuring the school phone is covered and reception desk is manned from 8:00 AM – 4:00 PM
• courteously and efficiently directing all calls
• taking and transmitting messages accurately and in a timely fashion
• courteously and accurately answering questions
• helping to program and maintain the telephone system including General Delivery Voice Mailbox
• maintaining current voicemail and extensions list

Receptionist
• Greeting all guests and visitors and providing a thoughtful warm presence in the front lobby for children and adults alike while effectively
• maintaining a neat, orderly and organized lobby & reception area
• overseeing tight security sign-in (including accompanying all strangers while in the building)
• helping to maintain and update student record files in database
• signing for packages and deliveries and seeing that they are complete
• overseeing children in Health room and maintaining room/bedding
• distributing, monitoring and ordering blue bags

Data Entry
• general word processing, as requested (Microsoft Word)
• data entry (prospective student inquiries and Student Information Forms, etc.) mass mailings (typing, mail merge, collating, sealing, and posting), as requested.
• maintenance of certain records (daily drop-in for Encore)
• maintenance of school calendar and reservation calendar in database
• attend weekly Administrative Staff meeting and All-School Staff meeting, as scheduled

Office Management
• filing, as requested
• daily, prompt recovery and distribution of US mail (incoming and outgoing)
• copying and collating, as requested

The hours will be from 8:00am-4:00pm, Monday-Friday, August 1-July 31.
